Structure
Promotion should not mean rebuilding a team
In a lot of club software, a team is welded to the division it was created in. Promotion, relegation and mid-season realignment then mean deleting a team and typing twenty children back in — losing the payment history, the signed forms and the statistics with it.
- Move a team between divisions at any point in a season. Roster, dues, documents and results move with it.
- Roll a whole season forward — divisions, teams and age groups — and carry the rosters over, in one action.
- Merge two thin rosters into one team without either side losing its history.
- Add a division in October, after the teams already exist. Structure is not a decision you make once in July.
- A club calendar that aggregates every event under the org, whoever created the location it happens at.
Registration
Write the age rule once, not every August
“U12 is born on or after 1 September 2014” is a rule. A registrar converting it into a raw birthdate range and pasting that into a form every season is a rule being re-derived by hand, annually, with the errors that implies.
- Age cutoff rules are objects. They classify every player, roll into the next season, and flag anyone in the wrong group.

Officials
Assigning referees is the hard part of running a league
It is a constraint problem — availability, grade, travel, crew composition, pay rate — usually solved in a spreadsheet by one person who cannot go on holiday. And when a game moves, everybody in the club finds out except the official assigned to it.
- Officials carry tags (grade, age groups, sports), an availability calendar and a pay rate.
- Crew rules for a fixture — one centre, two assistants — checked when the assignment is made.
- Reschedule a game and the assigned official is re-notified automatically, with the option to release the assignment.
- Match fees accrue against the official's record and export for payment.
The rest of the job. The parts nobody demos, and everybody does weekly.

Cancel a program and refund it in one action. A partial refund returns the processing fee proportionally and adjusts the balance owed, so the ledger is right without a manual correction.
